Mandatory TRACS User Certification

It’s that time again and all TRACS Coordinators must certify TRACS Users no later than Friday, January 31, 2022.  Certifying TRACS Users is required in order to ensure they can continue to send TRACS files and receive TRACS messages.  

Current TRACS Users and TRACS Coordinators can begin this process December 13, 2021, and TRACS Coordinators must complete all User Certifications by January 31, 2022

Coordinators (Certifiers) are responsible for:

  • Ensuring that all TRACS Users still need access to TRACS;
  • Confirming that all TRACS Users have:
  • Completed the Cyber Awareness Challenge within the last twelve months;
  • Accepted the TRACS Rules of Behavior within the last twelve months. 

In order to assist our customers who are WASS Coordinators, RBD has developed step-by-step instructions to assist Coordinators in the certification process. The TRACS User Recertification Quick Start is available on our Resources Web site at https://www.rbdnow.com/resources/tracsimax.  

Don’t delay! Completing the TRACS User Certification process now will ensure that your certification and voucher transmission processing will not be interrupted.  

Just to provide a quick summary, owner/agents should be sure to follow HUD’s Security Requirements related to TRACS

  • Each User has their own WASS ID and password
  • Never share Secure System ID/Password combinations
  • Each TRACS User/Coordinator must accept the TRACS Rules of Behavior each year
  • Print the TRACS ROB
  • Sign the TRACS ROB
  • Be prepared to provide Reviewers with a copy of the TRACS ROB at the Management & Occupancy Review (Do not send a copy to HUD unless requested) 

Note: If for some reason, a TRACS User or TRACS Coordinator did not save the TRACS ROB, a copy of the TRACS ROB can be access from HUD’s TRACS web page https://www.hud.gov/sites/documents/TRACSROB.PDF

  • Each TRACS User/Coordinator must complete the Department of Defense (DOD) Security Awareness Training/Cyber Awareness Challenge Each Year. https://public.cyber.mil/training/cyber-awareness-challenge/
  • Print the Cyber Awareness Challenge Training Completion Certificate (Either to a printer or create a PDF File)
  • Be prepared to provide Reviewers with a copy of the Cyber Awareness Challenge Training Completion Certificate at the Management & Occupancy Review 

Note:  For new TRACS Users and TRACS Coordinators, if the Cyber Awareness Challenge has not already been completed, then it must be completed within 30 days of accepting the TRACS ROB. For existing TRACS Users and TRACS Coordinators, the requirement is to complete the Cyber Awareness Challenge at least every twelve months but this training does not have to be completed at any particular time.
